The Service

What contract fuel covers

Whether you manage an international fleet or operate under Part 91, our contract fuel network reduces your overhead on every uplift.

Why private operators pay more

AOC operators have historically controlled fuel expenses through VAT and MOT exemptions. Non-AOC and FAR Part 91 operators often face premium rates instead.

Contract fuel closes that gap. We secure consistent fuel access through leveraged bulk purchasing across multiple global suppliers, then pass the contract rate to your flight department.

What you get on every uplift

Guaranteed baseline contract discounts on Jet-A1, ramp fee waivers through our integrated FuelerLinx network mapping, and fuel releases that deploy globally without a physical, branded fuel card.

Our dedicated support team is available 24 hours a day, 7 days a week, 365 days a year.

How It Works

How to buy jet fuel through Icarus Jet

Icarus Jet issues digital fuel releases directly to aircraft operators, without requiring physical fuel cards. To clear an uplift, the operator provides three database entities.

Tail Number

01
the aircraft

The aircraft tail number identifies the airframe taking the uplift.

ICAO Airport

02
the destination

The ICAO destination airport, so the release is mapped to the correct supplier and FBO.

Fuel Volume

03
the request

The fuel volume request in gallons or litres, which also determines whether the ramp fee waiver triggers.

No physical or branded fuel card is issued or required. The digital release is valid worldwide.

What to send with a fuel request

To purchase aircraft fuel from Icarus Jet, provide the aircraft registration and MTOW, the flight schedule with departure and arrival dates and times, the fuel type and approximate quantity needed, and your preferred refuelling schedule, on arrival or before departure.

How much notice we need

We request at least 2 hours notice before arrival or departure so authorisation is in place, and some locations require 24 hours notice. Requests can be cancelled, though certain locations impose cancellation fees if the cancellation occurs within 24 hours of the scheduled release, or if the fuel is not utilised.

What You Are Actually Paying

The three layers of a fuel price

Jet fuel is bought at airports through into-plane fuel suppliers and FBOs, either at posted retail prices or through a fuel programme that negotiates contract rates on your behalf. Operators rarely pay list price.

Base Fuel Cost

01
the fuel itself

The underlying cost of the product before anything is added for delivery or access.

Into-Plane Fees

02
delivery to the aircraft

Charged for physically delivering the fuel to the aircraft on the ramp.

Airport Surcharges

03
access and handling

Airport or handling surcharges applied on top, which retail pricing bundles out of sight.

Retail posted prices bundle all three at a premium. Contract or programme pricing separates them, so you see the real cost. Icarus Jet passes through negotiated rates and quotes fuel transparently as part of trip support, with no undisclosed markup, arranging uplift at 3,000+ airports worldwide and typically saving operators up to 7% against retail.

How long a rate holds

Fuel rates remain valid for 7 days. In North and South America and Europe, rates are updated every Tuesday. In the Middle East and Asia they typically remain valid for either 15 or 30 days. Rates are subject to change and may fluctuate based on exchange rates.

Tax Treatment

Part 135 versus Part 91 in Europe

Fuel tax exemptions depend strictly on the operator's legal classification.

Two Things Worth Knowing

Ramp fees and crew rewards

How an uplift waives the ramp fee

Fixed-Base Operators waive ramp fees when an aircraft hits a minimum fuel uplift threshold. Icarus Jet integrates fuel management software to calculate the exact gallon or litre volume needed to trigger the FBO waiver, balancing fuel weight limits against landing fee savings.

In regions like the USA, FBOs often impose significant ramp charges to discourage non-fuelling visits. Our FuelerLinx account enables precise flight planning to circumvent these fees, by determining the optimal uplift strategy, such as carrying additional gallons from your base airport and refuelling only the necessary amount.

The Crew Rewards Program

Icarus Jet runs a Crew Rewards Program that rewards each crew member 50 points each on trip support and jet fuel purchased on the same leg. Each point is worth one US dollar and is redeemed using an AMEX provided by Icarus Jet.

Questions

Frequently asked questions

How do I buy jet fuel through Icarus Jet?

Icarus Jet issues digital fuel releases directly to aircraft operators. To clear an uplift, the operator must provide three database entities: the aircraft tail number, the ICAO destination airport, and the fuel volume request.

Does Icarus Jet require a physical fuel card for Jet-A uplifts?

No. Icarus Jet issues digital fuel releases directly to aircraft operators without requiring physical fuel cards, and those releases deploy globally without a branded card.

How much can I save on jet fuel?

We guarantee a 3% to 7% rate reduction for your flight department, matching or beating any global competitor quote, through guaranteed baseline contract discounts on Jet-A1.

How much of my operating cost is fuel?

Jet-A fuel accounts for nearly 35% of total aircraft operating costs, which is why a contract rate moves the overall number more than most other line items.

What are the VAT exemption rules for Part 91 versus Part 135 operators in Europe?

Commercial operators (AOC / Part 135) are legally exempt from Mineral Oil Tax and Value Added Tax at the point of sale across EU networks upon presenting a valid Air Operator Certificate. Private operators (Non-AOC / Part 91) are subject to regional MOT and VAT upfront.

Can Part 91 operators recover the tax they pay upfront?

Icarus Jet mitigates these costs via post-flight tax reclamation structures and local handling agent network alignments.

How do fuel uplifts waive FBO ramp fees?

Fixed-Base Operators waive ramp fees when an aircraft hits a minimum fuel uplift threshold. Icarus Jet integrates fuel management software to calculate the exact gallon or litre volume needed to trigger the waiver, balancing fuel weight limits against landing fee savings.

Do you match competitor fuel quotes?

Yes. We guarantee a 3% to 7% rate reduction for your flight department, matching or beating any global competitor quote.

Is the fuel release valid worldwide?

Yes. Fuel releases deploy globally without requiring physical, branded fuel cards.

Which fuel grades are covered?

Jet-A and Jet-A1 uplifts, with guaranteed baseline contract discounts applied on Jet-A1.

How does the bulk purchasing work?

Icarus Jet secures consistent fuel access through leveraged bulk purchasing across multiple global suppliers, which is what produces the contract rate.

What is the Crew Rewards Program?

Each crew member earns 50 points each on trip support and jet fuel purchased on the same leg. Each point is worth one US dollar and is redeemed using an AMEX provided by Icarus Jet. See the Crew Rewards Program.

Where can I buy jet fuel?

Jet fuel is bought at airports through into-plane fuel suppliers and FBOs, either at posted retail prices or through a fuel programme that negotiates contract rates on your behalf. Brokers and fuel resellers hold bulk agreements that release discounted pricing across large airport networks. Icarus Jet arranges fuel uplift at 3,000+ airports worldwide, typically saving operators up to 7% against retail.

What is jet fuel and what is it made of?

Jet fuel is a refined kerosene-based aviation turbine fuel. The most common civil grade is Jet A-1, a mix of hydrocarbons produced from crude oil and treated with additives for anti-icing, static dissipation and corrosion protection. Kerosene is used because it has a high energy density, a low freezing point suitable for high altitude, and a higher flash point than gasoline, which makes it safer to store and handle.

How does jet fuel pricing work for operators?

There are three layers: the base fuel cost, into-plane fees charged for delivering it to the aircraft, and airport or handling surcharges. Retail posted prices bundle all three at a premium. Contract or programme pricing separates them, so you see the real cost. Icarus Jet passes through negotiated rates and quotes fuel transparently, with no undisclosed markup.

How long are your fuel rates valid?

Fuel rates remain valid for 7 days. In North and South America and Europe, rates are updated every Tuesday, whereas in the Middle East and Asia they typically remain valid for either 15 or 30 days. Rates are subject to change and may fluctuate based on exchange rates.

What details do you need to purchase fuel?

The aircraft registration and MTOW, the flight schedule with departure and arrival dates and times, the fuel type and approximate quantity needed, and your preferred refuelling schedule, on arrival or before departure.

How much notice do you need, and can I cancel?

We request at least 2 hours notice before arrival or departure, and some locations require 24 hours. Requests can be cancelled, but certain locations impose cancellation fees if the cancellation occurs within 24 hours of the scheduled release or if the fuel is not utilised.

Is support available outside office hours?

Our dedicated support team is available 24 hours a day, 7 days a week, 365 days a year.

Can you handle the rest of the trip as well as the fuel?

Yes. Fuel sits inside our wider international trip support, covering permits, ground handling, slots, customs and crew logistics.
