What to send us for an accurate estimate

The more of the trip we can see, the closer the first figure lands. Send the departure and destination airports, or the cities if the airport is still open; the dates and rough departure times; and the passenger count with an idea of baggage. Anything that narrows the aircraft choice matters as much as the route: pets travelling in the cabin, medical equipment, or oversized items such as skis, golf bags or musical instruments. Where the trip runs to several stops or includes an overnight, send the full itinerary rather than the outbound leg alone. What can move the figure between estimate and departure

An estimate reflects the conditions on the day it is produced. Fuel is the largest single variable and moves independently of us; we pass through the bulk discounts we hold rather than marking the fuel up. Handling and landing fees are set by the FBOs and airport authorities at each stop and are published in local currency, so an exchange rate shift changes them. Overflight and landing permit fees are set by the civil aviation authority of each country crossed, and additional routings that appear after the estimate is issued bring their own charges. In winter, de-icing is charged on use and cannot be quoted in advance. At capacity-constrained airports, the slot you are given can change the timing enough to affect crew duty and, on longer days, require a second crew or an overnight.
