Trip support is the planning and ground infrastructure behind a private jet flight: overflight and landing permits, flight planning, ground handling, fuel, customs, and crew logistics, coordinated so the crew can focus on flying. Icarus Jet charges a flat fee per leg from $199 with 0% markup on ground handling, at 3,000+ airports worldwide.

What does international trip support include?

A full engagement covers overflight permits and landing rights for every country on the routing, flight planning with optimised routes, US customs clearance and eAPIS filing, VIP terminal access, ground handling coordination, in-flight catering, crew accommodation, and ground transportation.

The point is a single accountable team. Instead of the crew or flight department chasing a dozen vendors across time zones, our dispatch desk sequences permits, slots, fuel releases, and handlers so each leg is cleared before the aircraft moves. That matters most on multi-sector international trips, where one late permit cascades into every following leg.

How much does trip support cost?

We charge a flat support fee per leg, from $199, and 0% markup on ground handling, plus bulk fuel discounts of up to 7%. You pay actual cost for third-party services with no hidden margins built into handler or fuel invoices. On most international trips the fuel discount alone offsets a meaningful share of the fee.

How early should you arrange it?

At least 48 to 72 hours before an international departure covers most permits, slots, and handling. Complex routings needing multiple overflight permits, such as transits across several African or Asian FIRs, are safer with 5 to 7 days, since some authorities process applications only on business days. How much money will you be able to save me?

What is your jet fuel rate?

Rates depend on location, airport, uplift volume, flight type, and whether you hold an AOC. We also plan your fuel stops to burn more efficiently, a 360 approach to fuel savings rather than a single price. See our fuel service.

Can you get us overnight parking for my jet?

Parking is harder to secure at busy destinations, and we secure it with a 100% guarantee regardless of traffic. If parking genuinely is not available, we identify the nearest airport where the aircraft can reposition and park.

Can you help with permits and in-country regulations to avoid fees?

Yes. That is the core of the service: filing the right permits, meeting in-country requirements, and flagging the local rules that generate avoidable fees before they are charged. We secure most landing rights and overflight permits within 24 hours across Africa, South America, China, India, and the Middle East, including diplomatic clearances.

What is the difference between an overflight permit and a landing permit?

An overflight permit authorises an aircraft to transit a country’s airspace without landing; a landing permit authorises it to land, and is issued separately. Most international trips need both, and the lead times differ sharply: Saudi Arabia issues overflight approval in around 24 hours but landing permits take 48 to 72 hours, while China can require 7 to 10 working days. A routing crossing several flight information regions may need half a dozen permits, each with its own authority and processing calendar.

How long does it take to get a China landing permit?

Plan on 7 to 10 working days for permit approval into China, and note that aircraft documentation must be registered and approved first, which takes around 5 days on its own, with a further 3 to 5 days for the landing permit once documents are cleared. Insurance, crew licences, and noise certificates all need valid expiry dates before the application goes in. See our China business jet rules guide.

What is a GAR and when must it be filed for UK flights?

A General Aviation Report (GAR) is the UK submission of flight and passenger details required for international private flights, and since 6 April it is mandatory for both arrivals and departures. It must be filed online between 2 and 48 hours before departure through the GAR web service or an approved third-party app. Non-compliance carries fines of up to £10,000. What does AOG mean, and what happens if my aircraft goes AOG abroad?

AOG stands for Aircraft on Ground: the aircraft is unfit to fly because of a technical fault or damage, and every hour it stays grounded carries cost and schedule impact. Away from base, the response depends on locating parts and approved engineers quickly, arranging customs clearance for those parts, and rebooking crew and passengers meanwhile. Do private jet passengers travelling on ESTA need anything extra?

Yes. ESTA is well understood in the airline environment, but general aviation arrivals into the United States face a different compliance landscape, and incorrect assumptions about passenger eligibility create real risk of refusal at the border. Crews and dispatchers should verify each passenger’s ESTA status and the arrival airport’s clearance capability before departure, alongside eAPIS filing. See our ESTA and US crew compliance guide.

Is VAT charged on fuel and trip supplies in the EU and UK?

Generally yes. Trip supplies imported into the EU or UK, including fuel, spares, and other goods, are normally subject to VAT when operating within those territories unless a specific exemption applies. Getting the treatment wrong risks delays, fines, and in serious cases aircraft impoundment, so the paperwork should be confirmed before the supplies move. See our VAT and customs rules guide.

What is the difference between trip support and a ground handler?

A ground handler works at one airport and delivers services on the ramp: marshalling, baggage, fuelling coordination, and passenger facilities at that station only. A trip support provider plans and coordinates the entire journey across every station on the routing, appointing and supervising the handlers, filing permits and flight plans, arranging fuel and slots, handling customs paperwork, and monitoring the flight. On a multi-sector international trip you would deal with a different handler at every stop, but only one trip support desk.
